ETH Zurich, the developer of MineTime, (“ETH,” „MineTime“, “we”, “us” or other similar pronouns) respects and values the privacy of its users (“you”) and has developed this Privacy Policy to demonstrate its commitment to protecting your privacy.
This Privacy Policy describes the information we collect, how that information may be used, with whom it may be shared, and your choices about such uses and disclosures.
We encourage you to read this Privacy Policy carefully when using our application or services or transacting business with us. By using our website or application (our “Service”), you are accepting the practices described in this Privacy Policy. If you have any questions about our privacy practices, please refer to the end of this Privacy Policy for information on how to contact us.
We may collect information that can identify you such as your name, email address, and phone number (“personal information”) and other information that does not identify you.
We may collect this information through a website or a desktop application. By using the Service, you are authorizing us to gather, parse and retain data related to the provision of the Service. When you provide personal information through our Service, the information may be sent to servers located in countries around the world.
To register as a user with MineTime, you will be asked to sign in using your email address. Your email address will be used for identification purposes and is linked to your MineTime User ID. Since MineTime users may add your email address to a calendar event invitation and see that you registered with MineTime, we do not consider the fact that your email address exists on MineTime as private information.
You will also be asked to provide access to one or more of yours calendar accounts. A copy of all calendar events associated with the accounts you link in MineTime will be stored locally on your computer. Part of the information related to you calendar data (events summary, date, time, location and attendees) might also be transferred and stored securely on our server and will only be used for:
(a) determine free/busy availability for all users invited to an event
(b) build a personal preference profile in order to propose times you are most comfortable with
(c) conduct academic research for purposes including statistical analysis and development of MineTime advanced features
(d) publish de-identified or aggregate information about the use of the MineTime.
Calendar-accounts are protected by passwords. You should choose a secure password and ensure its confidentiality to prevent unauthorized access to your account. We do not store any passwords on our servers. Access tokens and password for your calendar accounts are only stored locally in the keychain of your operating system. The connection between MineTime and your calendar can be deleted at any time.
MineTime respects your personal information. We will not share your personal meetings or who you meet with with other users or 3rd parties. Unlike calendar sharing in other systems, other users will not be exposed to your full calendar. You can request us to completely delete this information from your account.
Some of MineTimes’s features require you to communicate with MineTime through a natural language interface („MineTime Assistant“). Once our assistant is called upon, and scheduling-related talk commences, MineTime uses the messages to extract availability-related meaning (time ranges, meeting duration, attendees, etc). Other commands are also trasferred to our servers to extract your intent and perform with the requested action. Some messages might be retained to train our AI, in order to better understand our users and provide better service. This content is anonymized before being processed.
MineTime does not, and will not at any point ever sell or share any of your messages with a 3rd party.
We use various technologies to collect information from your device and about your activities on our Service.
Our servers may automatically collect data about your Internet address when you use our services. This information, known as an Internet Protocol address, or IP Address, is a number that is automatically assigned to your computer by your Internet service provider whenever you are on the Internet. Our servers may log your IP Address and, if applicable, your domain name.
Any or all of these activities with regard to site usage information may be performed on our behalf by our service providers, including, for example, our analytics vendor(s) and our e-mail management partner(s) and server hosting partner(s).
When you visit our Service, we may assign your device one or more cookies to facilitate access to our Service and to personalize your experience. Through the use of a cookie, we also may automatically collect information about your activity on our Services, such as the pages you visit, the time and date of your visits and the links you click. If we advertise, we (or third parties) may use certain data collected on our Service to show you MineTime advertisements on other sites or applications.
We embed pixel tags (also called web beacons or clear GIFs) on web pages, ads, and emails. These tiny, invisible graphics are used to access cookies and track user activities (such as how many times a page has been viewed). We use pixel tags to measure the popularity of our features and services. Ad companies also use pixel tags to measure the number of ads displayed and their performance (such as how many people clicked on an ad).
If you are using our app, we use mobile device IDs (the unique identifier assigned to a device by the manufacturer), or Advertising IDs (for iOS 6 and later), instead of cookies, to recognize you. We do this to store your preferences and track your use of our app. Unlike cookies, device IDs cannot be deleted, but Advertising IDs can be reset in „Settings“ on your iPhone. Ad companies also use device IDs or Advertising IDs to track your use of the app, track the number of ads displayed, measure ad performance and display ads that are more relevant to you. Analytics companies use device IDs to track information about app usage.
We may use information that we collect about you to:
(a) deliver and improve our products and services, and manage our business;
(b) manage your account and provide you with customer support;
(c) perform research and analysis about your use of, or interest in, our or others’ products, services, or content;
(d) communicate with you by email, postal mail, telephone and/or mobile devices
(e) enforce or exercise any rights in our Terms of Use;
(f) perform functions or services as otherwise described to you at the time of collection.
We do not rent, sell, or share any information about our users with any third-parties, except as specifically described herein.
We may disclose your Personal Information if we believe such action is necessary to:
(a) comply with the law, or legal process served on us;
(b) protect and defend our rights or property (including the enforcement of our agreements); or
(c) act in urgent circumstances to protect the personal safety of users of our Service or members of the public.
In order to provide you with MineTime products you have requested, MineTime may sometimes, if necessary, share your Personal Information and traffic data with trusted partner service providers and/or agents, for example: analytical services, customer support, or hosting services.
MineTime will always require these third parties to take appropriate organizational and technical measures to protect your personal data and traffic data and to observe the relevant legislation.
Within the framework of the U.S.-Swiss Safe Harbor Framework, our US third-party providers have committed to warranting a reasonable level of privacy which is similar to the Swiss data privacy laws.

We may from time to time ask you to provide information about your experiences, which will be used to measure and improve quality. You are at no time under any obligation to provide any of such data. Any and all information which is voluntarily submitted in feedback forms on our Service or any survey that you accept to take part in is used to review this feedback and improving the MineTime software, products, and websites.
We may contact you to send you messages about faults and service issues. Furthermore, we reserve the right to use email or the MineTime software to notify you of any eventual claims related to your use of our software, websites and/or products, including without limitation claims of violation of third party rights.

Log Data
Like many site operators, we collect information that MineTime sends whenever you use the Application (“Log Data”). This Log Data may include information such as your computer’s Internet Protocol (“IP”) address, operating system, browser version, the views our Application that you visit, the time and date of your access, the time spent on those views and other statistics.

We take security measures to help safeguard your personal information from unauthorized access and disclosure. Personal Information is stored on our servers and protected by secured networks to which access is limited to a few authorized employees and personnel.
However, since the WWW network is not a 100% secured environment, we cannot ensure or warrant the security of any information you transmit to MineTime. There is no guarantee that information may not be accessed, disclosed, altered, or destroyed by breach of any of our physical, technical, or managerial safeguards. It is your responsibility to protect the security of your login information. We strongly advise you not to communicate any confidential information through any electronic means.
MineTime websites and software clients are not intended for or designed to attract anyone under the age of 13, and we do not intentionally or knowingly collect Personal Information on our sites from anyone under the age of 13 (or older in some jurisdictions). We encourage parents to be involved in the online activities of their children to ensure that no information is collected from a child without parental permission.
From time to time, we may revise this Policy. We reserve the right to update or modify this Policy, or any other of our policies or practices, at any time with or without notice. We will post the revised Policy on the Application so that users can always be aware of what information we collect, how the information is used and under what circumstances such information may be disclosed. You agree to review the Policy periodically so that you are aware of any modifications. Your continued use of the Service indicates your assent to any changes and signifies your agreement to the terms of our Policy. If you do not agree with these terms, you should not use the Application, the MineTime App, or any other Service.
If you provided your email address to us and wish to update or delete it, you may do so by sending an e-mail to connect@minetime.ai.
If you wish to delete your account completely (and remove all your calendar data, settings and preferences from our servers), you can if present use the in-app option in the settings menu or write us an email with your email address to connect@minetime.ai. Please note that this will remove your data from MineTime Services, and deactivate MineTime on your device. Please also note that simply uninstalling MineTime from your device will not delete your account.
